Refund and Dispute Policy

1.1. Cancellation and Refund Eligibility

  • Project Cancellation: Clients may cancel a project before work has started or before it is completed. Cancellation requests must be made within one week (7 days) of placing the order.
  • Refund Calculation: Refunds are calculated based on the percentage of the required scope that has not been completed.
    Example: If 25% of the project (such as an app review or workshop preparation) is completed, a refund of 75% of the paid amount will be issued.
  • Non-Refundable Minimum: A minimum of 10% of the total project fee is non-refundable, covering initial service initiation costs.
  • Documentation and Progress Assessment: We maintain detailed documentation of all work performed. This documentation will be used to calculate the percentage of the scope completed, and the refund amount will be determined solely on the actual work documented rather than on predefined milestones.

1.2. Exceptional Circumstances

  • Force Majeure: In the event of unforeseen circumstances (e.g., natural disasters, significant external disruptions), project delays or indefinite halts may occur. In such cases, clients are entitled to a refund proportional to the work completed up to the point of the event.
  • Scope Changes: Any significant change in the project scope may require a requotation of our services. Such changes might affect the refund calculations accordingly.

Dispute Resolution

2.1. Informal Resolution

  • Initial Contact: Any disputes or concerns regarding refunds or project progress should first be communicated directly via email at contact@vlk.jp. We are committed to addressing and resolving any issues promptly through direct email communication.

2.2. Documentation

We will provide all relevant documentation of work completed, including progress records and communications, to support an equitable resolution.

2.3. Governing Law

This policy is governed by and interpreted in accordance with Japanese law. In the event of any dispute that cannot be resolved through direct communication, both parties agree that the courts in Japan shall have exclusive jurisdiction.
